Who this notice covers

This notice explains how TANDEM Cat® and Cats in the City collect, use, share, and protect personal information when you use tandemcat.org, our registration and guardian tools, staff applications, cat profiles, care plans, support tools, and feline transition services.

Information we collect

• Contact, account, authentication, and communication details.
• Guardian, household, cat profile, care-plan, vaccination, medical, behavior, and service information you choose to provide.
• Applications, consent records, signatures, uploaded documents, photos, and support messages.
• Payment and transaction details. Payment-card information is handled by our payment processor; we generally receive transaction records rather than full card numbers.
• Device, browser, IP address, cookies, security events, and site-use information needed to operate and protect our services.

How we use information

We use information to provide and improve cat-care services and programs; maintain connected cat and guardian records; authenticate users; route work to authorized staff; communicate about services; process payments and documents; respond to support requests; prevent misuse; keep audit and security records; and meet legal obligations.

When information is shared

We share information only as reasonably needed with authorized Cats in the City and TANDEM Cat personnel, the guardian or account holder connected to a record, and vendors that help us operate our services. These may include WordPress, Jetpack and Automattic; Zoho services; Stripe; and email, hosting, security, storage, and support providers. We may also disclose information when required by law, to protect people or animals, or in connection with an organizational transaction.

We do not currently sell personal information or use it for targeted advertising. If our practices change, we will update this notice and provide any legally required choice.

Staff access and security

Staff access is role-based and limited to assigned applications. We use authentication, access controls, logging, and other safeguards intended to protect information. No online system is completely secure, so please contact us promptly if you believe an account or record has been compromised.

Retention

We keep information for as long as needed to provide services, maintain care and transaction records, resolve disputes, support security and audits, and satisfy legal or operational requirements. When information is no longer needed, we take reasonable steps to delete or de-identify it.

Your privacy choices

Depending on where you live and the law that applies, you may be able to request access to, correction of, deletion of, or a portable copy of personal information, or information about certain disclosures. You may also have rights relating to sale, targeted advertising, or significant profiling. We may need to verify your identity and may retain information when an exception applies.

To make a privacy request or appeal a decision about a request, email shawn@catsinthecity.com with “Privacy Request” in the subject line. An authorized agent may submit a request when permitted by law and when authority can be verified.

Cookies and connected services

We use necessary cookies and similar technology for login, security, preferences, and site operation. Connected services and embedded content may set their own cookies or collect information under their privacy notices.

Children

Our website and programs are not directed to children under 13. A parent or guardian should contact us if they believe a child provided personal information without appropriate permission.
